CrewMate ("we," "us," or "our") operates the CrewMate mobile application (the "App"). This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use our App. By using CrewMate, you agree to the practices described in this policy.

1. Information We Collect
Account Information
When you create an account, we collect:
- Airline email address — Used to verify you are a current airline crew member. This is required for registration and is the primary way we ensure CrewMate remains a crew-only community.
- Name — Your first name and last initial, displayed to other crew members.
- Position — Your crew role (e.g., Flight Attendant, Pilot, Captain).
- Airline — The airline you are employed by.
- Base (domicile) — Your home airport/base city.
- Profile photo — Optional, stored securely via Firebase Storage.
Layover and Location Data
- Layover information — Cities, dates, and times of layovers you set (current and upcoming).
- GPS location — Used for check-in verification (confirming you are within approximately 50km of a city you're checking into). GPS data is used only at the moment of check-in and is not continuously tracked or stored.
- Layover visibility status — Whether you are "live" and discoverable to other crew in your city.
Content You Create
- Spot recommendations — Restaurant, bar, and activity suggestions including names, categories, ratings, and reviews.
- Plans — Group plans you create or join, including title, description, location, time, and participant list.
- Crewfie posts — Photos and captions shared to the activity feed.
- Messages — Direct messages sent to other crew members and group plan messages.
- Feedback — Bug reports, feature requests, and other feedback submitted through the app.
Automatically Collected Information
- Device information — Device type (iOS/Android), operating system version, and app version. Used for bug reporting and compatibility.
- Usage data — Anonymous interaction patterns to help us improve the app experience. We do not use third-party analytics or advertising trackers.
2. How We Use Your Information
We use the information we collect to:
- Verify your identity as an airline crew member via your airline email address.
- Connect you with other crew on layovers in the same city.
- Display your profile to other verified crew members (first name, last initial, airline, position).
- Enable features such as spot discovery, plan creation, messaging, and the activity feed.
- Send notifications about connection requests, plan updates, messages, and other app activity.
- Improve the app based on feedback and usage patterns.
- Ensure safety by enabling content moderation and responding to reported concerns.
3. How We Share Your Information
We do not sell your personal information. We do not share your data with advertisers or data brokers. Period.
Your information may be visible to or shared with:
- Other verified crew members — Your profile (name, airline, position, base), layover status, spot reviews, plans, and crewfie posts are visible to other verified users of the app. Your full email address is never displayed to other users.
- Service providers — We use the following third-party services to operate the app:
- Google Firebase (Authentication, Firestore database, Cloud Storage) — Hosts our backend infrastructure. Firebase Privacy Policy
- Google Places API — Used for spot location data and place details when adding spot recommendations.
- OpenWeatherMap API — Used to display weather information for your layover city. Only the city name is sent; no personal data is shared.
- Apple TestFlight / Google Play — Used for app distribution during alpha/beta testing.
- Expo (EAS) — Used for app builds and over-the-air updates. No personal user data is shared with Expo.
We may also disclose your information if required by law, to protect the safety of our users, or to enforce our Terms of Service.
4. Data Storage and Security
Your data is stored on Google Firebase servers located in the United States. We implement security measures including:
- Firebase Authentication for secure login.
- Firestore Security Rules restricting data access to authorized users.
- HTTPS encryption for all data in transit.
- Airline email verification to prevent unauthorized access.
While we take reasonable steps to protect your data, no method of electronic storage is 100% secure. We cannot guarantee absolute security.
5. Data Retention and Deletion
- Layover data — Expired layovers are automatically cleaned from active displays. Historical layover records are retained for your Crew Journey feature.
- Account data — Retained as long as your account is active.
- Deletion — You may request complete deletion of your account and all associated data by emailing hello@crewmateapp.dev. We will process deletion requests within 30 days. Account deletion is also available through the app's Settings page.
- Content you created — Spot reviews, plans, and posts may persist in anonymized form after account deletion to maintain community data integrity.
6. Your Choices and Rights
- Profile visibility — You control when you are "live" and discoverable on layovers.
- Notifications — You can manage push notification preferences in the app settings.
- Location — GPS access can be revoked through your device settings. Some features (GPS check-in verification) require location access to function.
- Data access — You may request a copy of your personal data by emailing us.
- Correction — You can update your profile information at any time through the app.
- Deletion — You may delete your account as described above.
7. Children's Privacy
CrewMate is intended for verified airline crew members who are at least 18 years old. We do not knowingly collect information from anyone under 18. If we learn we have collected data from a minor, we will delete it promptly.
8. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes through the app or by updating the "Last updated" date above. Your continued use of CrewMate after changes constitutes acceptance of the updated policy.
